WhatsApp Template Rejection Reasons

WhatsApp templates are usually rejected for one of a handful of reasons: wrong category, promotional language in a non-marketing template, missing variables, shortened URLs, or policy-violating content. Here's each reason explained, and exactly how to fix it.

The Real Reasons

Why WhatsApp Templates Get Rejected

These cover the large majority of rejections businesses run into.

1 Wrong category for the content

The most common rejection reason. If you mark a template as "Utility" or "Authentication" but the wording is promotional (discounts, offers, sales pitches), Meta will reject or recategorize it.

Fix: Match your category honestly. Promotions and offers belong in "Marketing." Order updates and account alerts belong in "Utility." OTPs belong in "Authentication."

2 Missing or misused variable placeholders

Templates that start or end with a variable ({{1}}), use variables with no surrounding context, or have variables placed too close together are commonly rejected.

Fix: Always start and end your template with real text, not a variable. Give each variable clear context, e.g. "Hi {{1}}, your order {{2}} has shipped."

3 Shortened or suspicious URLs

Link shorteners (bit.ly, tinyurl, etc.) are frequently flagged, since Meta can't verify where they actually lead.

Fix: Use your own full domain URL. If you need tracking, use UTM parameters on your real domain instead of a third-party shortener.

4 Poor grammar, ALL CAPS, or spam-like formatting

Excessive capitalization, multiple exclamation marks, or a large number of emojis can read as spam to Meta's automated review.

Fix: Write in normal sentence case, proofread for grammar, and keep emoji/punctuation use minimal and natural.

5 Requesting sensitive personal information

Templates that ask customers to reply with financial details, government ID numbers, passwords, or health information are rejected under WhatsApp's commerce policy.

Fix: Never request sensitive data inside a template. Direct customers to a secure page or your app instead.

6 Content violating WhatsApp Business Policy

Templates promoting restricted categories (gambling, adult content, unauthorized pharmaceuticals, weapons) are rejected outright, regardless of wording.

Fix: Review Meta's WhatsApp Business Policy before submitting if your industry is in a commonly restricted category.

7 Vague or generic content with no clear purpose

Templates that are too generic ("Hello, we have an update for you") without stating what the update actually is can be rejected for lacking clear intent.

Fix: Be specific about what the message is for — an order update, a reminder, a confirmation — so the reviewer (and your customer) understands its purpose immediately.

QuickMessage's template manager flags common issues before you submit, and our team can review templates that keep getting rejected.

Template Approval Best Practices

Follow these before you submit, and you'll avoid most rejections entirely.

Match category to intent

Ask yourself: is this promoting something, or informing about an existing transaction? That answers Marketing vs. Utility.

Preview with real sample data

Fill in your variables with realistic example values before submitting, so the message reads naturally and completely.

Keep it short and specific

Shorter, purpose-driven templates get approved faster than long, multi-purpose messages trying to do too much.

Template Approval
Frequently Asked Questions.

How long does WhatsApp template approval take?

Meta's template review times vary, often within a few hours, though it can occasionally take up to 24 hours or more.

Can I edit and resubmit a rejected template?

Yes. You can't edit an existing rejected template directly, but you can create a new template with corrected content and resubmit it for review.

Does a rejected template affect my Quality Rating?

A rejected template itself is not sent to customers, so it does not directly affect your Quality Rating. Quality Rating is affected by how recipients respond to templates that were approved and actually sent.

Why was my template rejected with no clear reason given?

Meta's rejection messages aren't always specific. If the reason isn't clear, review the common causes above first — category mismatch and promotional wording in a Utility template are the most frequent culprits.
