Quick answer

To reduce RTO (return to origin) on cash-on-delivery orders, confirm every COD order on WhatsApp before you ship it. Send a message with Confirm and Cancel buttons, ship only confirmed orders, check the address in the same chat, and keep the customer updated until delivery. You can also invite COD buyers to pay online instead. On the WhatsApp Business API, these messages go out automatically from your store.

Every RTO costs you twice: forward shipping and return shipping, plus packaging and stock that is stuck in transit. Most RTOs come from orders the customer never really meant to receive, wrong addresses and customers who are not reachable at delivery. WhatsApp helps with all three.

Why COD orders get returned

  • Impulse or fake orders: the customer changes their mind, or never intended to buy.
  • Wrong or incomplete address: the courier cannot find the customer.
  • Customer not reachable: calls from an unknown courier number go unanswered.
  • Late delivery: the customer has already bought elsewhere.

5 WhatsApp steps to reduce RTO

  1. Confirm the COD order before shipping. Send an order summary with Confirm and Cancel buttons. Ship confirmed orders; follow up once on orders with no reply; cancel orders the customer cancels.
  2. Confirm the address in the same chat. Show the address and ask the customer to reply if anything needs correcting, including a landmark or pin code.
  3. Offer a prepaid option. Invite COD customers to pay online. If you add a discount or cashback for paying online, that message is a marketing message, so send it separately from the confirmation.
  4. Send shipping and out-for-delivery updates so the customer expects the delivery and keeps cash ready. See shipping update messages.
  5. Handle failed deliveries fast. If a delivery attempt fails, message the customer to arrange a new time before the parcel is sent back.

COD confirmation templates

COD confirmation (utility)

Hi {{1}}, thank you for your order #{{2}} of ₹{{3}} (Cash on Delivery). Please confirm so we can ship it to: {{4}}.
[Confirm order] [Cancel order]

Out for delivery (utility)

Hi {{1}}, your order #{{2}} is out for delivery today. Please keep ₹{{3}} ready. Reply here if you need help.

Pay online offer (marketing)

Hi {{1}}, pay online for order #{{2}} and get {{3}} off. Pay here: {{4}}

Order confirmations and delivery updates are utility messages. A message with a discount is marketing. Keep them separate; see marketing vs utility vs authentication templates.

What it costs

On QuickMessage, a COD confirmation and two delivery updates for one order are three utility messages: 3 × ₹0.18 = ₹0.54 per order, excluding GST. If a customer replies and you answer within 24 hours, those replies are service messages, and the first 1,000 each month are free. Compare that with the shipping cost of a single returned parcel. See pricing.

Frequently asked questions

What is RTO in e-commerce?

RTO means return to origin: an order that could not be delivered and is shipped back to the seller. It usually happens with cash-on-delivery orders when the customer refuses the parcel, is not reachable or the address is wrong.

How does WhatsApp reduce RTO?

By confirming COD orders before shipping, checking the address, offering a prepaid option and keeping the customer updated until delivery, so fewer unwanted or undeliverable orders are shipped.

Is a COD confirmation message utility or marketing?

A COD confirmation about the customer's own order is a utility message, as long as it has no offer. A message offering a discount for paying online is marketing.
